Allen Law PC – Policy on the Collection, Use, and Disclosure of Personal Information

Allen Law Professional Corporation (“Allen Law PC”, “we”, “us”, or “our”) is committed to protecting the privacy and confidentiality of personal information in accordance with our professional obligations and applicable privacy legislation. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information in the course of providing legal services.

This Policy does not apply to:

 

business contact information used solely for professional communication,

aggregated data that cannot identify an individual, or

information about corporations or other organizations.

Allen Law PC takes privacy and confidentiality very seriously. As lawyers, we are governed by the Rules of Professional Conduct established by the Law Society of Ontario, which impose strict duties regarding the confidentiality of client information.


All lawyers, staff, and agents working with Allen Law PC are required to comply with these obligations and maintain the confidentiality and security of all Personal Information entrusted to us.



3. Information We Collect

We may collect Personal Information from you when:

  • determining whether to enter into a professional relationship,
  • providing legal services, or
  • communicating with you through our website, by phone, email, or in person.


The types of Personal Information we may collect include, but are not limited to:

  • anti–money laundering requirements);

  • communicating with you about your matter or other legal developments;
  • maintaining internal records;
  • complying with professional, regulatory, and insurance obligations;
  • responding to lawful requests from courts, tribunals, or regulatory authorities; and

We do not sell or rent Personal Information to third parties.


We may share Personal Information with trusted service providers (for example, for IT or accounting support), provided they agree to maintain confidentiality and protect your information.


5. Limiting Collection, Use, and Retention

Allen Law PC collects only the Personal Information necessary for the purposes identified above.


We retain client files and related Personal Information for 15 years following the conclusion of a matter, unless a longer retention period is required by law or professional regulation. After that time, files are securely destroyed or deleted in accordance with our records management policy.


When Personal Information is no longer required, it is securely destroyed, deleted, or anonymized.



6. Website and Electronic Communications

When you visit our website or communicate with us electronically, we may collect limited technical information (such as your IP address or browser type) to improve functionality and security.


We may also use cookies or similar tools for analytical purposes. You can adjust your browser settings to disable cookies, although this may affect website performance.


We may send newsletters, legal updates, or event invitations to clients and contacts who have opted in to receive them. You may unsubscribe at any time by following the link in our communications or contacting us directly.

Personal Information may be stored electronically or in hard copy form, in secure facilities or trusted third-party systems located in Canada. If information is stored or accessed outside Ontario, it may be subject to the laws of that jurisdiction.

You may request access to your Personal Information or ask for corrections by contacting us in writing. We may require proof of identity before granting access. Access may be restricted in limited circumstances (for example, where the information is subject to solicitor–client privilege).
